The sign-up period will last for two weeks, from March 10th until March 24th. During this time, players can submit their forms, including character preferences and other relevant details.
Flagging
After the sign-up period, we will send out a list of prospective participants to everyone who signed up. Flagging will be open for one week, from March 25th to April 1st.
To keep our game as safe as possible for everyone involved, we need the assistance of eyes and ears in the community. While we acknowledge that flagging is a decidedly imperfect tool, we believe that games would be less safe without such a system in place; so until we find a better tool, we will use this one.
There are two types of flags in this game:
- yellow flags for players you would prefer not to play closely with for safety reasons (if you have different reasons not to want to play closely with a given participant, please put this down in the remarks section of the registration form).
- red flags for players you believe pose a danger to other participants (including) organisers or the larp itself.
Between the closing of the registrations and the casting period, you will be given access to a document that contains the names of all registered potential participants. You will be given a week’s time to share any potential concerns with us. You do not immediately need to share your reasoning for flagging someone if you are not willing to do so, but we reserve the right to at least ask you for an explanation if we determine we lack the necessary information to make an informed decision.
We promise to keep any such concerns you share with us secret between you and the organizers of this larp.
After the participant list is finalized, all participants will still have access to the waiting list. We will send intermittent reminders for everyone to check the waiting list for any names that you feel you need to flag to the organizers. We will only move participants into the active participant pool if:
- their name was on the list when the last “flagging reminder” email was sent out, and
- at least three days have passed since that email was sent out
Once a new participant is ready to be admitted, they will be shown the waiting list and participant list and given a chance to do any flagging they deem necessary.We do not expect any last-minute issues that would make these rules problematic since that is exactly why we’ve chosen to work with a system of Alternates
Casting
Casting will be based on the preferences indicated in the sign-up forms. We aim to ensure that every player is matched with a role that aligns with their desired experience.
After flagging, we will allocate a handful of spots to players who have contributed to this larp and the communities that have supported its development. The remaining spots will be drawn by lottery until it becomes difficult to match players with available roles. At that point, we will begin assigning characters based on the experiences requested in the sign-up forms.
Once cast, players will receive a short summary of their character. Full character sheets will be ready by the end of September.
Waiting list
If there are more sign-ups then there are spots and you fail to get in right away, you will be put on the waiting list. When a player drops out, we will see who in the waiting list is still available and best fits the character that became available. This also means that the waiting list is not a first come, first serve.
Alternate tickets
There will be two alternate roles available. These go for a reduced price and their primary goal is to have people on stand-by to fill in a last minute drop out. If no one drops out last minute, you will still have a character and/or an NPC role, but it is less fleshed out and with minimal pre-written connections (as the role might be dropped last minute to fill in a vacancy), so we advice to sign up only for this option if you are comfortable with all types of play, last minute changes and minimal directions.
